How to grant external accountant access with Dynamics 365 Business Central
About license
One of the license types for Business Central is the External Accountant license.
If you use an external accountant to manage your books and financial reporting, you can invite them to your Business Central so they can work with you on your fiscal data. Once your accountant has gained access to your Business Central, they can use the Accountant Role Center that gives easy access to the most relevant pages for their work.
This license type is intended for use by users such as external accountants. This means that you do not have to buy an extra seat in your current Active Directory or use one of your existing Business Central user accounts on your external accountant.
For example, if your current Office 365 subscription includes 10 users for Business Central, and you are currently using 10 Full User licenses, your administrator can simply add your external accountant as a guest user in the Azure portal and assign this user the External Accountant license at no additional cost. However, you can only have one user with the External Accountant license.
About external accountant access
Companies often hire accountants as vendors, rather than full-time employees. To give the accountant access to the information they need, you can assign them access as an external accountant.

PRE-REQUIREMENTS
- EXTERNAL ACCOUNTANT type license (Business Central subscriptions include three of those)
- GLOBAL/USER Admin role in Office 365
- EXTERNAL ACCOUNTANT email is a work address, based on Azure Directory
STEPS TO ACTIVATE AN EXTERNAL ACCOUNTANTING LICENSE
Open USERS Page
Click to “Invite External Accountant” to add a new External Accountant user in Business Central
…and If are not an ADMIN…. FAILURE MESSAGE!
if you have the rights to do so….
Click ACCEPT and go on..
Insert:
- Email address
- First name
- Last Name
- Compile the Welcome email text message
On the side of the new external accountant
- Read the email and click on link to verify if you can log on
Update new users in Business Central from Office365 Users
Wait for the completion of the user reading procedure from Office365
After Completition
- You can now see all new users who have been added to Business Central
I have completed the steps that you outline, however, the CPA can only see CRONUS and My Company. They cannot see any of the production companies.
Any idea what I am missing?
Does this apply to both SAAS and on-prem?
